Human Resources Assistant

The Human Resources Assistant performs all administrative and clerical duties in connection with supporting the Human Resources department. The HR Assistant is the first point of contact for employees and works to support the plant population. He/she will respond to a high volume of employee requests professionally and efficiently, while maintaining a courteous comportment. The HR Assistant provides responsive and high-quality services in a high pressure, dynamic environment and consistently demonstrates a strong sense of accomplishment while collaborating with others to meet the needs of the department. The HR Assistant often handles confidential information with professionalism and integrity.

SCOPE:

  1. Oversee time entry in Kronos.
    1. Collect and enter missed punch forms, vacation forms, within 48 hours.
    2. Ensure that time entered is accurate and logical; investigate variances.
    3. Process biweekly payroll.
    4. Enters absences in attendance database and sends weekly updates to leaders.
  2. Represent HR in New Hire Orientation.
  3. Assist employees with benefit enrollment.
  4. Responsible for oversight of the Vending program.
    1. Ensures that vendor keeps machines and supplies stocked
    2. Escalate issues to vendor and ensure timely resolution.
  5. Administer employee uniforms program.
    1. Verify invoice.
    2. Collect and process employee orders.
    3. Enter deduction information in payroll.
  6. Creates and maintain a variety of spreadsheets to track and communicate project progress.
  7. Administers gift card programs, gym reimbursements, employee recognition programs, Sam’s Club memberships, spousal birthday program and other employee engagement events and programs.
  8. Work as liaison between employee and IT with regards to new and replacement cell phone requests and email requests, new accounts and resets.
  9. Partners with plant management to ensure that they are up-to-date with employee milestones.
  10. Writes and distributes monthly newsletter.
  11. Creates and publishes content to for digital signage.
  12. Coordinates Quarterly Update Meetings.
  13. Coordinates with outside vendors to execute Free Lunch Friday as well as other lunches/events
  14. Serves as the eyes and ears of the HR department, escalating personnel issues as appropriate.
  15. General Duties
    1. Participate in Zero Harm and quality audits.
    2. Works safely and orderly.
    3. Notify supervision of any hazardous or unsafe conditions.
    4. Maintains clean and orderly work area.
    5. Perform all necessary miscellaneous work pertaining to the above job duties.
    6. Any other duties assigned by management.

EDUCATION/EXPERIENCE PREREQUISITES:

Mandatory – Candidate must have 2+ years work history demonstrating high performance in an administrative role. Expert computer skills working with Excel, Word, Outlook, PowerPoint and Publisher.

Preferred –  5+ years related experience working in a high demand role. Associates degree or Bachelors degree. Intermediate level experience with ADP, Kronos, AppSpace. Previous experience in an HR or payroll role.

OTHER REQUIREMENTS:

Candidate must be able to work early morning hours most weekdays (5AM).  

SUPERVISION RECEIVED:

Reports to the HR Representative II, but works with minimum amount of supervision.

DIRECTION EXERCISED:

The HR Assistant will have a predefined scope of work. He or she will be accountable for results and will set priorities to ensure that goals are met.

  • Must be able to investigate a variety of issues related to payroll and benefits, asking logical follow-up questions and clarifying information when unsure.
