Executive Suite Receptionist / Administrative Assistant

Position Summary

 The Executive Suite Receptionist/ Administrative Assistant supports Executive leaders in the Chicago office and serves as the first point of contact for visitors of the office, by creating an inviting and service-oriented atmosphere and answering in-bound calls ensuring caller is connected to the appropriate staff member.


  • Maintaining visitor control by serving as first point of contact for visitors of the office.
  • Answers phone calls, determines nature of call and ensures call is routed to the appropriate party.
  • Participates on the Chicago Safety Committee in addition to coordinating trainings and working with the building on the requirements.

  • Provides general clerical, administrative and project support for HR and other functions as necessary.

Back-up to Office Coordinator for

  • Ordering food for large company meetings that are hosted on-site;
  • Sorting, delivering, and sending out mail and FedEx on a day-to-day basis;
  • Generating employee badges for building security and access
  • Organizing and maintaining breakroom, supply room and supply ordering.
  • Ensures that the office areas are clean and well stocked, including but not limited to the conference rooms and shared spaces.

 Scope of Position: 

The Executive Suite Receptionist/ Administrative Assistant spends most of the his/her time supporting the C Suite Leadership in the Chicago office.  He/she is required to follow established procedures and standards, identify issues and escalate issues appropriately, develop and maintain new systems and processes and is able to work independently and effectively.

Knowledge, Skills, and Abilities:

  • Customer service driven
  • Demonstrated skills with the standard features of various Office software
  • Superior interpersonal and oral communication skills with the ability to relate well and cooperate with others to effectively coordinate activities and accomplish goals.
  • Demonstrated ability to perform well in a multi-task environment.
  • Demonstrated knowledge of, or ability to learn general HR policies, practices and procedures
  • Excellent organizational skills.
